As the organization scaled and regulatory requirements intensified, it became imperative to move beyond fragmented EHS reporting systems and adopt a more intelligent, centralized digital approach.

Recognizing the need for a structured and responsive safety management system, our client partnered with us to digitize their end-to-end EHS operations through a phased and deeply customized software solution.

With a workforce spread across multiple plants and third-party contractor sites, Matrix Pharma Corp faced a natural progression of operational complexity. The solution created a digital safety ecosystem tailored to Matrix Pharma’s organization. It was implemented in two strategic phases, ensuring complete transparency, accountability, and agility in safety management.

Phase 1 Modules

1. System Configuration & Organizational Hierarchy: A foundation was created reflecting actual reporting structure, locations, and user roles—right down to third-party contractors. This ensured every incident or observation flowed through the correct chain of command.

2. IPO (Incident Preventive Opportunity) Management: Proactive safety behaviors were captured through IPOs, enabling the workforce to report near-misses before they became incidents. Real-time forms with attachments and categorization allowed safety teams to act quickly.

3. Incident/Near-Miss Management: Each safety event followed a pre-defined lifecycle: Report → Investigate → CAPA → Closure. Stakeholders were auto-notified at each stage, with smart reminders and escalations built into the workflow.

4. CAPA: Corrective and Preventive Actions were centrally tracked and assigned to responsible individuals. Real-time dashboards monitored overdue tasks, and audit trails ensured traceability.

Phase 2 Modules

5. EHS Audits: A configurable audit engine was introduced to schedule, conduct, and review audits across units. Observations were linked directly to CAPAs for holistic closure.

6. EHS Scorecard: A unified scorecard gave leadership insights into safety performance across plants, departments, and contractors.

7. Register of Regulation: To support compliance, a dynamic repository was created to track legal and regulatory updates and mapped to site-specific obligations and deadlines.

8. EHS Observation: The module encouraged a proactive safety culture, ensuring that hazards were identified and resolved before they escalated into incidents, while also providing data-driven insights for continuous improvement.

The automated lifecycle of every IPO or incident involved a comprehensive process that encompassed recording, investigation, CAPA assignment, verification, and eventual closure. To ensure that no actions were overlooked, customized notifications, escalation emails, and reminders were set up as email triggers. Employees were also able to attach photos and documents, which facilitated a more in-depth analysis of the root cause. Each user role, from operators to site heads, benefited from intuitive dashboards that displayed pending actions, performance trends, and compliance status. Furthermore, a robust audit trail was maintained through detailed logs of every action taken, complete with time stamps, ensuring thorough documentation for both internal audits and external inspections.
