Safety Management System

Jindal Steel, Oman is one of the leading steel producers in the Middle East, operating large-scale steel production facilities in various parts of Oman. The company is deeply committed to workplace safety, operational excellence and sustainable growth.

Until now, reporting of unsafe conditions, near misses, incidents and corrective actions has been a manual process. Although these methods were effective, they made it difficult to track, monitor and gain real time visibility into safety performance. To enhance the efficiency of these processes and improve safety management, Jindal Steel Oman has collaborated with TECH EHS to set up a centralized digital Safety Management System.

Challenge

The safety team was spending too much time maintaining records, tracking safety observations, and following up on corrective actions. Safety observations and incident management were mostly managed through manual processes, and preparing reports for review meetings required significant additional effort.

Another big challenge was handling historical safety data. The customer had many years of valuable safety records that were critical for trend analysis, compliance tracking, and future decision making. Hence, a major requirement was to ensure that this data migration into the new system was successful.

User adoption was another common challenge. In many transformation initiatives, operational teams are often comfortable with current processes and may continue to use old methods before fully adopting a new system. Through careful change management, user engagement and ongoing support during the transition, a smooth adoption was achieved.

Solution

The solution’s current phases focused on digitization of below two important EHS Processes:

  • Safety Observation with Corrective and Preventive Action (CAPA)
  • Incident/Near-miss reporting with Corrective and Preventive Action (CAPA)

In addition to above, the solution included a number of supporting features for enhancing safety management and reporting:

  • Safety observation reporting with QR code
  • Historical safety records migration
  • Management reports and interactive dashboards
  • Safety stats and trend analysis
  • Safety Index Calculation
  • Tracking of Safety Performance Indicator
  • CAPA monitoring and closure tracking
  • Analytics based on current and historical safety data

QR codes were introduced with a reporting feature to enable employees or contractors to report safety observations, instantly from location. This simplified the reporting process, reduced manual effort and improved the speed of information capture.

Historical safety records were migrated successfully into the new platform, preserving valuable organizational knowledge. This enabled users to view and analyse legacy and current data from a single system and to gain better visibility of safety performance over time.

The implementation and adoption process went better than we thought. One of the main reasons for this success was the workforce’s knowledge of digital tools and technology. As a result, the employees adapted quickly to the new system with little support and encouragement from the project team. Such rapid adoption by the users helped to realize the benefits of the solution in a short time.

Outcome

Reporting activity increased significantly following implementation. Employees found the QR-based reporting process easy to use and that it increased their frequency of observations.

The organization saw over 100% growth in safety observations compared to the manual process. This provided the safety team with better information on issues being identified in different areas of the plant.

Now management could use dashboards to analyze safety performance instead of gathering information from multiple sources. Historical data was also available in the same system which made trend analysis much easier.
